The Pennsylvania Department of Education (PDE) approved the use of Flexible Instruction Days (FID) as an alternate form of instruction in place of a day otherwise canceled due to inclement weather or a building emergency. The PDE will count this as a full day of school. The school has been approved to use up to a maximum of five FIDs each school year. On a FID, students will complete learning assignments provided by the teacher at home on the day that otherwise would have been canceled and made up at the end of the school year.

How will families be notified that the school is using a Flexible Instructional Day?
Families will be notified through the schools various communication streams. This will include, but is not necessarily limited to: email, phone call, text messages, social media posts, website alerts, and local media outlets.

What is the typical student experience on Flexible Instructional Day (FID)?
- AGCS will operate on a consistent, modified daily schedule for all students K-12. The school day will begin at 9:30am and conclude at 2:15pm for all K-12 students. This day mirrors a typical two-hour delay schedule at State Road and accounts for a 30-minute lunch break for students.
- Students will have a live, morning homeroom meeting via Zoom from 9:30am-9:45am to review the expectations for the day and get help from their Homeroom teacher if needed. Meeting links for homeroom will be distributed by teachers directly to students.
- Students will engage with predominantly asynchronous, independent work throughout the school day. Assignments and directions for the day will be provided through the Schoology Learning Management System (LMS).
- All work assigned will factor into a student's class grade/mastery.
- Teachers and staff will be available via email, Schoology, phone, or Zoom to provide help and assistance.
- The school will progress to the next letter day on FID days, however, when students return to in-person school, they will remain on that letter day special so they have the opportunity for face-to-face instruction with that special.

Kindergarten students don't typically take their iPads to and from school with them. Will they have access to their device on a FID Day?
Avon Grove Charter School will be as proactive as possible in its communication related to the potential for a FID day. Kindergarten students will be directed to take their iPads home with them if the school anticipates the potential for a FID Day due to pending inclement weather.
It is important that families have paid the yearly technology fee to ensure that student devices are covered under the school's shared insurance pool if Kindergarten students are transporting their devices.

How is student attendance taken during a FID day?

Lawful school attendance is based on parents/guardians logging into the Parent Portal and completing the “Flexible Instructional Day Student Attendance Form” which will be released/published the morning of the FID day.

Students will have three (3) school days upon return from an FID day to submit work/assignments for full credit.

If a parent/guardian is unable to log in to the Parent Portal to complete the attendance form, they can email or call the attendance office directly and notify them that their child(ren) will be participating in the FID day for attendance purposes.

If the “Flexible Instructional Day Student Attendance Form” is not completed or a parent does not contact the attendance office directly, then the student will be marked with an unexcused absence.

If a parent/guardian submits a school excuse note indicating that their child(ren) was unable to participate in the FID day due to lack of internet access, the day will be excused and the excusal request will not count as one of the allowable, normal, “parental excusals”. Students will still be responsible for completing any missed work or assignments.

AGCS will follow its regular attendance procedures/policy related to excusing non-participation/attendance during an FID day.

What if my child needs assistance or has a question about an assignment during an emergency virtual day?
All teachers will be available during the school day to support students and families through email, phone, Schoology, and Zoom.

Does a FID count in the student's letter cycle of days? How will K-8 Specials operate?
The school will progress to the next letter day on FID days, however, when students return to in-person school, they will remain on that letter day special so they have the opportunity for face-to-face instruction with that special. For example, if the school were to call a FID day, and the school day was supposed to be a B-day, the FID day will be a B-day. When the students return the next school day to face-to-face instruction, the school will remain to operate on a B-day so that students have the opportunity to meet with that specific specials teacher and intervention schedules remain intact. Specials teachers will provide students with choice activities based on their specific letter-day special.

What if my family has an individual circumstance that prevents my child from being able to complete schoolwork or participate during a FID?
If any student cannot complete the day’s assignments or participate in the FID day due to an individual family circumstance, please email your school’s attendance inbox to report your child as absent. Students will have three days upon return from a FID to submit work for credit in their class/courses.

What happens if a student fails to complete his/her assignment?
Any student who fails to complete their FID assignment(s) within three school days will receive a zero for the assignment.

What if there are widespread power outages during an FID and my child cannot access their work for the day?
In the event of widespread power outages throughout the area, AGCS may determine that a FID needs to become a traditional emergency closing day. We will communicate any changes to the day via our typical communication channels.

Do Flexible Instructional Days need to be made up at the end of the school year like traditional emergency closing days?
No. Flexible Instructional Days are considered instructional days. These are not school closures and do not need to be made up at the end of the year.

My student has an IEP/504, will his/her lesson be modified appropriately?
Any students with approved Individual Education Plans (IEPs) or 504 service agreements will be provided modified or adapted assignments per their SDIs. If students struggle to complete the assignments independently they then have the ability to meet with their case managers upon return to school to get additional assistance.
